The fair is run entirely by volunteers of the Wellsway School PTA. We are committed to supporting independent businesses and would encourage you to shop locally. We aim to get as many people from the local and wider community to attend the fair for you. We also will try our best to offer a good variety of stalls to the public.
Payment
WE WILL EMAIL YOU AROUND THE MIDDLE OF JUNE IF YOUR APPLICATION IS SUCCESSFUL OR NOT. Please check your spam folder, and let us know if you do not have anything by the 15th June.
If your application is successful, you will have 10 working days to pay via BACS or Stripe. Please note that as with any popular fair or market, there is a waiting list and without prepayment, your booking is not guaranteed and your table will stay open until payment is received. BACs or Stripe details (as applicable) will be sent to you upon successful application.
Cancellations
Should you need to cancel your stall/pitch for any reason before the event the following terms apply:
a. stall/pitch cancelled before the 1st October will receive a refund.
b. stall/pitch cancelled from the 1st October will not receive a refund
Table Hire conditions
In accordance with the terms we have entered with the table hire company, you agree that:
If your table(s) are returned to the PTA at the end of the event in a damaged, unclean and/or defective state except where due to fair wear and tear and/or an inherent fault in the tables, the stall holder shall be liable to pay the table hire company for the cost of any repair and/or cleaning required to return the table(s) to a condition fit for re-hire.
All inside pitches will be given a 6” by 2” table and a chair. Outdoor pitches will need to bring their own table.
Insurance & Food Safety
All food traders are required to have Public Liability Insurance. Please ensure this is in date and available for inspection at the fair, if requested. All food traders who sell any food or drink products must have registered with their local authority food safety team, and comply with any legislation required by them. We understand that smaller non-food ‘craft’ stallholders are not required to have separate insurance.
TENS license
The school will provide a TENS license on the day to cover the entire event for alcohol to be consumed on premises and taken away. You will not need a separate license.
Timings of the event
The fair is open to the public from 12 noon. Stallholders must not arrive earlier than 10am. Unloading / setting up time is open from 10am. You will be directed to a space for unloading. After unloading, your vehicle must then be moved to the streets surrounding the school.
It is important to note that our insurance does not cover any stallholders arriving before 10am. We plan to have Bristol Ambulance staff on site for 12 noon. Any stallholders who do arrive before 10am will not be allowed entry through the gates and will be asked to park on the street outside the gates and wait until the site is open.
The fair finishes at 4pm. Please be aware that it is a condition of trading that all stallholders must be present for the duration of the fair.
Traders are not allowed to begin to pack down or leave before the fair finishes at 4pm (even if you have sold out of stock).
Pitches/stall allocation
One pitch per business. Stall holders are not permitted to share a stall with another business.
Pitches are allocated according to the variety of stalls. We endeavour to provide the public with a wide variety of stalls. However, no stallholder has exclusivity of any product.
As this is an artisan ‘craft’ fair, preference will be given to producers over stalls selling items bought for on-sale.
The organisers will try and accommodate stall location requests, but it may not be possible to accommodate your requests as we need to ensure a good variety of product types in the same area. We will confirm your pitch/stall location as soon as possible following confirmation of your booking. The mezzanine floor and stage in the Mendip Hall will be closed.
Please make any specific pitch problems (electricity not working, chair missing, table broken) known to the organisers upon arrival; This does not include having your preferred location. Prompt arrival facilitates issues being resolved satisfactorily.
Your stall
Please make sure your stall is as attractive and welcoming as possible. You should make sure that surplus stock for your stall is stored safely, underneath the stall so it does not represent a trip hazard. All stallholders are required to keep their display within their allocated space and will be asked to move any display that overlaps another stall, is positioned in the space between stalls, or poses a safety hazard to the public.
In the interests of health and safety, and access issues, please ensure your stall does not infringe on any access points / your neighbouring pitches. Should any of your items infringe on these areas, we will request they are removed as we have a duty to follow the health and safety and access requirements of the school / event.
The Wellsway PTA take a zero tolerance approach to instances of unacceptable, threatening, bullying, discriminatory or abusive behaviour towards our volunteers. Should this occur you will be asked to leave and will not be invited back to future events.
Security
The Wellsway School PTA and Wellsway School does not accept any responsibility for any loss, theft or damage to a stallholder’s property on the day of the event. Please keep all valuables secure whilst loading and unloading.
